~ Improves Security of Encrypted Documents for Employee Distributions, and Reduces Costs of Electronic Distribution ~
HitachiSoft*has applied the encryption capabilities of its data security product "Hibun" to the company's own PDF-based "ReportMission," system to develop "ReportMission/Delivery for Hibun," a system for secure, low-cost distribution of personally addressed PDFs. The company started offering the solution to customers in March.
The system converts materials that would otherwise usually be printed such as sales reports and salary details to PDF files for distribution to employees, and encrypts it in Hibun self-decryption format to prevent leaks of information due to theft or loss of printed materials. Moreover, the system uses e-mail for document distribution, reducing distribution costs and improving employee services.
HitachiSoft already utilizes Hibun in an encrypted file distribution system for electronic distribution of salary details, etc., to contribute to the goal of a paperless office for improved operations efficiency. It has also demonstrated effectiveness as a powerful information tool for protection of personal information.
Characteristics of the PDF-Based "ReportMission/Delivery for Hibun"1.Encryption of Electronic Data, and Distribution by E-Mail
Salary details and other data are converted to PDF files, Hibun technology is used to encrypt the information, and it is then distributed by e-mail to previously registered recipients. For the PDF conversion engine, Wing Art Technologies' "SVF for Web/PDFJava Edition" (sold separately) is used for quick conversion. The salary details and other data are converted from CSV format to PDF files. For ledger sheets, the data designed in the Wing Art Technologies' "Super Visual Formade (SVF) Sekkeibu " (sold separately) can be used for PDF conversion. Further, since the system utilizes e-mail, distribution is not limited to in-house networks, but can also be sent out to employees on extended business trips or on assignment
2.Security GuaranteesHibun encryption technology ensures the security of e-mail distribution. In addition, since encryption uses a self-decryption format that does not require a special program for decryption, recipients do not need to install special software.
3.Batch Processing for Greater EfficiencyBatch processing can improve the efficiency of PDF-based, encrypted e-mail distribution. The system allows customers to use any combination of functions desired (PDF conversion, encryption, e-mail distribution). For example, data that does not require conversion to PDF or editing by the recipient can be set to undergo encryption only and then sent out by batch distribution.
